Novel Coronavirus (COVID-19) Information for Academic Internship Program (AIP) Participants

The Academic Internship Program has been monitoring the ongoing developments related to the status of COVID-19 and the impact on our campus and community. We know that internship sites are impacted, and that student plans are also evolving. We want to ensure your health and safety, and plan for any potential impacts on AIP students and the internship sites that host them. Please refer to this page for updates on this rapidly-evolving situation.

For Students

Summer/Fall 2020 Internships Continuing

Academic Internship Program courses (AIP 97/197) and the Biology Research Internship Program (BISP 197) continue to be offered for Summer and Fall 2020. The enrollment process requiring a Learning Agreement and EASy request applies.

In response to COVID-19, UC San Diego engourages academic internships be conducted remotely. Please communicate with your internship supervisor to determine whether a remote structure is an option, and develop a plan that includes:

  • Defined projects, trainings, and/or tasks that can be completed from home, and a method for communicating progress
  • Access to information and technology needed to do the work
  • Regularly scheduled hours when you will be working, and your supervisor or others will be accessible to you
  • Regular online or phone meetings to check in, and receive guidance and feedback (ideally at least weekly)
  • A platform for saving and sharing your work with the internship site

If you have concerns about the internship, please do not hesitate to reach out. AIP’s physical office in the Teaching + Learning Commons is closed, but our staff is working remotely and available to help.

For Employers

AIP is working with employers in developing remote internship opportunities to promote healthy social distancing. We recognize the organizations and supervisors hosting our students as key partners in our students’ education, and we appreciate the efforts being made to accommodate interns this year.

We know that not every opportunity lends itself to remote work, but if this is something your organization is considering, please work with the student to create a plan, including:

  • Defined projects, trainings, and/or tasks that can be completed from home, and a method for communicating progress
  • Access to information and technology needed to do the work
  • Regularly scheduled hours when the intern will work, and you or a coworker will be accessible to them
  • Regular online or phone meetings to check in, and provide guidance and feedback (ideally weekly)
  • A platform where the intern can save and share work where you can access it

We hope to work with you and the student to create the conditions for successful completion of their internship in these evolving times. AIP staff are available to consult on the development of potential projects and remote work plans, please reach out to us if we can be of help in considering options. We are here to support you and the student.

For Faculty and Departments

AIP Enrollment and Advising

AIP will continue to enroll students in AIP 97/197 for Summer and Fall 2020 in cases where internships can be conducted remotely. AIP will also offer virtual student advising.

Some internship sites are unable to accommodate remote work. In these cases, or other COVID-19 circumstances impacting students’ ability to enroll in AIP 97/197, we advise students to consult with academic advisors in their college and/or department for guidance on other course options that will keep them on track toward degree completion.

Faculty Advisors

We appreciate faculty who continue to serve in the role of Faculty Advisor to AIP students during this time. We ask that you share with the student(s) you are advising the best way to contact you remotely for guidance on the AIP paper/project.

If you become aware of concerns that may impact the student’s ability to complete the internship and/or academic component of AIP, please contact our office so we can support the student in identifying options for dropping or completing the course.

Reaching AIP

AIP is working remotely this Spring, and can be reached at aipinfo@ucsd.edu for questions and/or to arrange a Zoom call or meeting.
